Refund & cancellation policy

Scope

This policy applies to professional engagements described on this site: anti-fraud audit case engagements, fraud risk assessments, and internal control walkthroughs. It does not cover software subscriptions, physical goods, or courses — we do not sell those.

Eligibility

Refunds relate to prepaid fees or deposits under a signed engagement letter. Website inquiries involve no charge and need no refund.

Timeframe to request

Refund or credit requests should be made in writing to info@ai-processnet.digital within 14 days of the event giving rise to the request (for example, cancellation notice or unused prepaid days after close).

Full or partial refunds

• Mobilisation deposit — refundable in full if we cancel before fieldwork begins. If you cancel more than 10 business days before the agreed start, we refund the deposit minus documented third-party costs already incurred. Cancellation within 10 business days: deposit is non-refundable unless we reassign the reserved team without loss.
• Prepaid fieldwork days unused at mutual close — credited or refunded on a pro-rata day-rate basis if we jointly agree the case can close early.
• Fixed-fee assessments — if we have not held the opening workshop or begun walkthroughs, fees paid are refundable minus administrative costs up to 10%. After workshop day one, fees are generally non-refundable; a partial credit may be offered at our discretion for unused follow-up days.

Non-refundable items

• Fees for fieldwork days already performed
• Working papers, memoranda, or interview notes already delivered
• Third-party costs (company searches, specialist translators, imaging vendors) once ordered with your approval
• Time spent on conflict checks and engagement setup after you authorised mobilisation

Process

Email info@ai-processnet.digital with your engagement reference, reason, and preferred remedy (refund or credit toward a later engagement). We confirm receipt within five business days and decide within 15 business days.

Processing time and method

Approved refunds are returned via the original payment method within 21 business days of approval. Bank charges levied by correspondent banks are borne by the party that incurred them under the engagement letter.

Cancellation and rescheduling

Either party may propose rescheduling. One reschedule with at least 5 business days’ notice is usually accepted without fee. Further reschedules or short-notice changes may incur a booking fee of one fieldwork day at the contracted rate.

No-shows

If client personnel required for walkthroughs or interviews fail to attend without 1 business day’s notice, that reserved day may be charged as delivered.

Work already started

Once fieldwork or a workshop has started, fees reflect work done plus non-cancellable commitments. We will not discard a live case file mid-investigation without a written close instruction; closing early still bills completed milestones.

Deposits

Deposits secure team availability. They are applied to the final invoice unless forfeited under cancellation rules above.
