Preserving ledger evidence after a tip-off

Practical hold steps for finance teams between the first allegation and the arrival of investigators.

The hours after a tip are when well-meaning staff overwrite the trail. Someone “cleans up” a shared drive. Someone resets a password. Someone asks the alleged buyer to explain a purchase order in writing — and that explanation becomes the only narrative on file.

Until counsel and investigators are briefed, finance can still help by:

  1. Suspending routine deletion on mailboxes and chat channels for people named in the tip.
  2. Exporting bank statements and subledgers for the period under suspicion without opening and resaving files inside personal folders.
  3. Photographing or imaging warehouse receiving logs if those records are still paper-based.
  4. Naming a single intake contact so twenty managers are not interviewing staff on their own.

Do not confront the subject with a printed allegation sheet. Do not circulate the tip text beyond those who need to authorise a hold. Do not wait for a perfect allegation theory before freezing volatile records — theories can wait; overwritten journals cannot.
